Appointment booking

Appointment booking lets a visitor freely pick a date and time from your availability, for a one-to-one appointment — a discovery call, an assessment, a first exchange. Unlike a session in the planning calendar, the visitor needs no account: their first name, last name and email are enough. The appointment lands automatically in your planning, like a regular session, and uses no credits.

Create an appointment offer

From appointment offers, create an offer. Each offer describes one type of appointment:

  • A title and a description — what the visitor sees (e.g. “Discovery call”).
  • The coach who takes the appointment and the activity it uses (it shows on the session created in your planning). The coach must have an email address: that is where each appointment notification is sent.
  • The duration of one appointment, and optionally a buffer between two appointments.
  • The weekly availability windows — one or more ranges per weekday (e.g. Tuesday 9 am – 12 pm, Thursday 2 pm – 5 pm), in the studio timezone.
  • The minimum lead time before an appointment, and how many weeks ahead it is bookable.

How a visitor books

As soon as an offer is active, the public “Book an appointment” page shows a calendar. The platform computes the free slots from your windows, removing anything already on the coach’s agenda — planning sessions as well as other appointments. The visitor picks a slot, fills in their details, and immediately receives a confirmation email with a calendar attachment (.ics). The coach receives a notification of their own.

The appointment then appears in your planning calendar, under the visitor’s name. A customer already logged into their account can also book: the appointment is simply attached to their account.

Cancellation

The confirmation email of a visitor without an account contains a secure cancellation link: they can withdraw without logging in, as long as the cancellation window you set has not passed. You can in any case remove an appointment at any time from the planning calendar. The cancellation window is the one on the Booking tab of the settings.
