The AI assistant

The assistant is powered by artificial intelligence (AI) and opens from any screen of the admin panel. You talk to it in plain language — "how many bookings this week?" or "add a yoga class with Marie every Monday at 9 am" — and it answers, or proposes the matching action.

How it works

It is not a general-purpose chatbot. It does not answer from memory and it invents nothing: for every question it actually reads your data through tools built for this software, and for every change it triggers a specific, verified action. So it can only talk about your studio — schedule, bookings, customers, credits, shop, content — and nothing else. If none of its actions matches your request, it tells you rather than guessing.

It already knows the shape of your studio (your coaches, your activities, your timezone): if there is only one coach, it uses it without asking. Relative dates like "this week" or "next month" are computed in your studio’s timezone. It answers in the language of your admin panel.

What it can look up

Questions get an immediate answer — they only read your data, with no confirmation. It can report on:

  • Schedule: number of bookings over a period, busiest coach, nearly-full sessions, upcoming empty sessions, session search, and who is booked on a given session;
  • Coaches and activities: list of your coaches, your activities, and the activities a coach is allowed to teach;
  • Shop: net revenue over a period, orders to process by status, active / created / cancelled subscriptions, best-selling products;
  • Customers: find a customer, a customer’s remaining credits, number of accounts attached to the studio;
  • Site: media library, pages and their publication status, studio settings, and a full health check listing what is not configured yet.

What it can change

Anything that changes something goes through your confirmation — the assistant proposes, you approve or cancel. It can:

  • Schedule: create, move, edit (time, capacity, credits) or cancel a session — for a single session or for a whole recurring series;
  • Bookings: book a customer into a session, cancel a customer’s booking (the credit is refunded), mark a booking as present, completed or no-show;
  • Credits: add or remove credits for a customer, keeping a record in their history;
  • Pages: publish or unpublish a page.

  • "Who is booked on the Monday 6:30 pm yoga class?", "Add a Pilates class with Marie every Monday at 9 am", "Move Tuesday’s session to 6 pm and all the following ones".
  • "Book Sophie Durand into Tuesday’s class", "Cancel Paul’s booking for Monday", "Mark Paul as no-show", "Add 5 credits to Sophie Durand".
  • "What is this month’s revenue?", "How many orders to process?", "Run a health check on my site", "Publish the pricing page".

Safety and trust

  • Nothing is ever created, edited or deleted without your confirmation; questions run directly because they only read.
  • A destructive action — deleting a session, cancelling a booking, adjusting credits — asks for a second, separate confirmation.
  • Always re-read the proposal before approving: a namesake coach or a misread time is fixed faster than a series created by mistake.
  • The assistant only acts on your studio, and every executed action is recorded. The conversation is kept for your session and cleared with one button.

Using it well

  • Name people and activities clearly: "Sophie Durand" removes ambiguity better than "Sophie".
  • To target a specific booking (cancel, mark no-show), first ask who is booked on the session, then name the person.
  • You do not have to work out dates: "this week", "last month", "next week" are enough.
  • The bottom of the panel shows your usage as a percentage of the monthly budget: the share taken by the current conversation and the total already used this month. To move on to an unrelated topic, clear the conversation with the trash icon: it starts fresh on a lighter, cheaper footing. A reminder also appears when the conversation gets long.

You can give the assistant context in the "Assistant context" field of the AI tab in your settings (for example your studio type, the default session length or the number of credits per class).

Settings and quota

The assistant is configured in the AI tab of your settings. The provider is chosen by the platform, with a monthly quota: you can see what you have consumed there, and consumption resets to zero every month. If the provider is set to "None", the assistant is simply absent from your admin panel.
