A coach does not need your account to know who is coming to their session. The coach space gives them a sign-in of their own, on your site, where they find the sessions they teach and the people booked into them. They reach nothing else: not the settings, not the orders, not the revenue, not another coach’s sessions.

Granting the access

The coach first creates their account on your site, like any customer, with the email address of their choice. Then open the coach record, pick that account in the "Coach space account" field and save. The access is immediate: the coach finds "Coach space" in their account menu.

Only accounts already registered with you are offered. If the coach is also one of your customers, that same account receives the access: it keeps its bookings, its credits and its orders, and the coach space is added without replacing anything.

What the coach sees

Their own sessions, in the same calendar your customers use: the week on a computer, day by day on a phone, past and future alike.
By tapping a session: the places taken, and the list of participants with their name, email address and phone number.
Nothing else. Another coach’s sessions are not offered to them, and they reach no part of the admin panel.

What the coach can do

On their own sessions, the coach adds a participant, removes one, or marks one absent. An addition behaves exactly like yours: the customer’s credits are spent, the confirmation goes out, the place is taken. A removal applies your cancellation rule and frees the place. Every action is recorded under the coach’s name, and you find it on the booking.

The coach cannot create, move or cancel a session, nor change its capacity or its price in credits: the planning calendar stays yours. Neither can they grant credits to a customer or take any payment.

The coach can only add people who already have an account with you. Somebody turning up without one has to create it first, from your site.

Withdrawing the access

To withdraw the access, clear the "Coach space account" field on the coach’s record (the cross) and save: it takes effect immediately. The coach’s record, their sessions and the history of their bookings are untouched, and if the coach was also one of your customers, their account and their purchases do not move either. Deleting the coach’s record withdraws the access in the same way.

Before you grant it

A coach with the access can read the contact details of the customers booked into their sessions, and search a customer by name or email in order to add them. That is what lets them take somebody in at the last minute. Give the access to the people you already trust with your customers in the room.
