The booking rules
The Booking tab of the settings defines the frame within which your customers book. Those rules only apply to them: a booking you make yourself from the planning calendar bypasses all of them — only the session’s maximum capacity and the duplicate-booking rule remain inescapable.
Lead times
- Minimum booking lead time — in hours. A customer cannot book a session starting sooner than that. It rules out the last-minute signup on a session already underway.
- Maximum booking lead time — in weeks. That is the visible horizon: beyond it, sessions exist in the calendar but are not bookable yet.
- Allowed cancellation window — in hours before the session. Past that point the customer can no longer cancel themselves, and their credits stay spent. A value of 0 forbids customer cancellation outright. You, on the other hand, can always remove an attendee from the planning calendar: their credits are then refunded.
Quotas
- Maximum number of reservations — how many upcoming sessions a customer may hold at once. Only active, future bookings count: a past session frees its slot in the quota. 0 = no limit.
- Maximum number of people on the waiting list — how deep the waiting list goes on a full session.
Credits
- Free credits on account creation — granted automatically to every new account, to allow a first trial session. 0 disables the gift.
- Number of negative credits allowed — the tolerated overdraft. A customer may book beyond their balance up to that amount; past it, the booking is refused.
- Low-credit email threshold — fires the alert email when the balance drops to that level. 0 alerts at a zero balance, -1 disables the email, which in any case is only sent once per drop below the threshold.
Those settings are read at every booking: changing them takes effect immediately, without touching bookings already made.
